Setra in Malå is now integrating into the growing HS group. We are looking for two Sales Back Office / Customer Service Coordinators who want to take a central role in our operational everyday life. This is the position for you who thrives on structure, international business, and keeping complex flows together between sales, production, inventory, and logistics.

About the role

In this role, you will be responsible for ensuring that customer orders, deliveries, and export flows are handled correctly and efficiently – from order registration to invoicing and delivery. You will act as the operational link between Sales, Production, Inventory, and Logistics, ensuring that the right information, documentation, and flows are in place at every step.

You work in a structured manner, have an eye for detail, and thrive in a role where pace, service, and quality go hand in hand.

Your main responsibilities

• Register, maintain, and follow up customer contracts and orders in ERP/WMS
• Create invoices, delivery notes, packing lists, and shipping documentation
• Handle export and customs documents (e.g., EUR.1, certificates of origin, health certificates) and collaborate with freight forwarders and certification bodies
• Administer inventory balances, investigate discrepancies, and allocate finished goods for dispatch
• Organize transport in collaboration with Logistics and external carriers (booking, route, mode of transport, pickup/delivery)
• Conduct credit checks on customers in collaboration with Finance and escalate discrepancies as needed
• Ensure correct documentation, regulatory compliance, and process quality
• Actively contribute to improvement work and more efficient routines

Your background

You have a commercial or logistics-oriented education, or equivalent experience, and 3–5 years of experience in Sales Back Office, order management, export administration, or logistics.

You have practical experience in transport coordination, credit control processes, and are accustomed to working in ERP/WMS systems (e.g., SAP, IFS) as well as Excel. You have good knowledge of Incoterms, shipping documentation, and export documents.

Languages

• Swedish – fluent in spoken and written
• English – fluent in spoken and written
• Additional languages are an advantage, especially German
